Commercial Client Expectations Before the Cleaning Team Arrives

To ensure an efficient, safe, and high-quality cleaning service, the Client agrees to the following prior to the scheduled cleaning appointment:
Provide Access
Ensure the cleaning team has access to the premises at the scheduled service time.
Provide any required keys, access cards, alarm codes, or building entry instructions in advance.
Secure Valuables
Secure or remove cash, confidential documents, jewelry, electronics, and other valuable or sensitive items before the cleaning team arrives.
Primekey Management Inc. is not responsible for unsecured valuables left in open areas.
Clear Work Areas
Remove excessive clutter, personal belongings, and obstacles from areas to be cleaned.
Ensure floors, desks, countertops, and common areas are reasonably accessible for cleaning.
Notify of Special Requirements
Inform Primekey Management Inc. before the service of any fragile items, restricted areas, specialty surfaces, hazardous materials, or special cleaning instructions.
Provide Utilities
Ensure electricity, running water, and adequate lighting are available throughout the service.
Parking and Building Access
Provide available parking or loading access where required.
Inform the Company of any building regulations, security procedures, elevator reservations, or access restrictions before the scheduled appointment.
Pets and Occupants
Ensure pets are secured and do not interfere with the cleaning process.
Minimize interruptions from employees, contractors, or visitors in the areas being cleaned whenever possible.
Health and Safety
Disclose any known health or safety hazards, including biohazards, mold, asbestos, chemical spills, pest infestations, or other hazardous conditions before service begins.
Inspection of Existing Conditions
Existing damage, excessive wear, permanent stains, discoloration, rust, hard water deposits, grout deterioration, and other pre-existing conditions should be identified before cleaning whenever possible. Cleaning cannot guarantee restoration of damaged or permanently stained surfaces.
Additional Services
Any work requested that falls outside the agreed scope of work may require additional time and charges. Additional services will only be performed with the Client’s approval whenever reasonably possible.
Service Delays
If the cleaning team is unable to begin work due to lack of access, unsafe conditions, excessive clutter, or unavailable utilities, the Client may be responsible for waiting time, rescheduling fees, or cancellation fees in accordance with the service agreement.
Final Walkthrough
The Client or their representative is encouraged to conduct a walkthrough upon completion of the service. Any concerns should be reported within 24 hours so they can be addressed promptly.
Deep Cleaning Service Expectations
Our team will complete a detailed deep cleaning service based on the agreed scope of work. Deep cleaning is a comprehensive process designed to address built-up dirt, dust, grime, and areas that may have been neglected over time.
Please note that deep cleaning results may not be immediately visible in all areas. Depending on the condition of the facility, level of buildup, traffic volume, and the surfaces being cleaned, it may take up to two weeks after the initial deep cleaning service to fully notice the improvement and overall results.
Our team will focus on delivering a thorough and professional service while following our cleaning procedures and quality standards. Continued routine maintenance cleaning is essential to preserve the improvements achieved during the deep cleaning process and maintain a consistently clean, healthy, and professional workplace environment.
Emergency Plan
To ensure the safety of all personnel and the protection of the Client’s property, the following emergency procedures apply:
Medical Emergencies
If a medical emergency occurs involving a Primekey Management Inc. employee, subcontractor, or any person on the premises, emergency services (911) will be contacted immediately if necessary.
The Client’s designated emergency contact will be notified as soon as reasonably possible.
Fire or Building Evacuation
All Primekey Management Inc. personnel will immediately follow the Client’s fire safety and evacuation procedures.
If no site-specific procedures have been provided, employees will evacuate the building using the nearest safe exit and assemble at a safe location until authorized to re-enter.
Security Incidents
Any suspected break-in, theft, vandalism, or unauthorized access discovered during the service will be reported immediately to the Client and, where appropriate, local law enforcement.
Employees will avoid disturbing the scene unless necessary to ensure personal safety.
Property Damage
Any accidental damage caused during the cleaning service will be documented and reported to the Client promptly.
Primekey Management Inc. will cooperate in resolving the matter in accordance with the terms of the service agreement and applicable insurance coverage.
Hazardous Conditions
If cleaners encounter hazardous materials, chemical spills, biohazards, gas leaks, structural hazards, or any unsafe condition not included within the agreed scope of work, work in the affected area will stop immediately.
The Client will be notified, and services will resume only after the area has been declared safe.
Severe Weather or Natural Emergencies
Services may be delayed, rescheduled, or suspended due to severe weather, natural disasters, government orders, or other circumstances beyond the reasonable control of either party.
Primekey Management Inc. will communicate with the Client as soon as practicable to arrange a revised service schedule.
Emergency Contacts
The Client agrees to provide at least one emergency contact who can be reached during the scheduled service in the event immediate decisions or access are required.
Incident Reporting
All emergencies, accidents, injuries, security concerns, and significant incidents will be documented in an Incident Report and retained by Primekey Management Inc. in accordance with its internal policies.
